This demo covers the Draw Management and Budget Tracker tool in Mortgage Automator, showing how to set up construction budgets, process draw requests, and monitor project health across a loan portfolio.
Starting from a loan file, navigate to the Construction Budget section to access the budget tracker. Budget line items can be entered manually or copied and pasted from a borrower spreadsheet to create a standardized baseline. Set a Loan-to-Cost ratio to automatically calculate approved budget amounts across all line items. A contingency bucket calculates automatically based on the total loan amount, and the system prevents line items from exceeding the total hard project budget.
Once the budget structure is finalized and activated, the tracker begins monitoring construction expenditures. Draws can be created on a fixed schedule or processed ad-hoc. When a draw request is received, open the active draw to review and validate funding requests against approved budgets and construction plans. Activate the draw to begin the due diligence process. After due diligence is complete, return to the pending draw to approve funds and record progress. Line item approvals can be adjusted to match site inspection reports, with project math handled automatically.
The system calculates real-time project health scores that indicate when a project is spending faster than work is progressing. Mid-project scope changes are automatically detected to flag budget imbalances before funds are disbursed. Funds can be moved directly from the contingency bucket to cover line item shortfalls without manual recalculation. Once contingency resolves a budget variance, the draw can be approved.
The workspace can be filtered, sorted, and exported to CSV. From the portfolio index view, all loans in the system are visible with their budgets, active draw requests, and project health scores displayed together.
